IMAP Backup Tool Working Guide

DRS IMAP Backup Tool is the most advanced and effective software to migrate your IMAP email accounts to Gmail, Office 365, IMAP, and G Suite accounts. Additionally, this software can back up your IMAP emails to PST, MBOX, MSG, CSV, PDF, EML, DOC, and DOCX file formats. You will get all the latest functionality with advanced security features. Also, this application is widely compatible with all major versions of Windows OS.

DRS IMAP Backup Tool offers a self-explanatory GUI for easy navigation. Below we explain the different sections and all the options available in the tool.

#1. Product Activation and Info

This section helps you to activate the premium license of the tool and check the basic product details. It contains the following four icons.

  • Purchase  ( ) - Click on the Purchase button to buy the premium license of the product as per your requirement.
  • Activation  ( ) - Activate the IMAP backup tool after purchasing the software. Provide the Order No. and Activation Key.

  • Info  ( ) - It shows you basic product information.

#2. Add IMAP account via CSV

In this section, you will see options to add multiple IMAP accounts via a CSV file. This functionality simplifies migrating multiple IMAP accounts and reduces time. The following options are offered in this section.

  • Import CSV - With this feature, you can migrate multiple IMAP accounts at once. It enables you to import a CSV file that contains login details of all the desired IMAP accounts that you want to migrate.
  • Check Sample of CSV file - The CSV file you want to import must contain all the IMAP accounts in a specific structure. With this option, you can download a sample CSV file that demonstrates what login details are required and how to structure them in the CSV file.

Help(How to enable IMAP setting) - The IMAP Backup Tool can only migrate IMAP enabled email accounts. Some email providers use IMAP by default. This guide helps you to enable IMAP in various email providers.

#3. Adding IMAP Account Manually

This field contains options that enable you to manually add IMAP accounts for migration. You can also remove the entire table of IMAP accounts. It consists of two buttons.

  • Add Row - Press the Add Row button to add a blank row for IMAP migration. You can add any number of rows through this button
  • Clear Table - If you have mistakenly added wrong IMAP accounts or want to migrate another list of accounts, the Clear Table will help you to clear the entire table of IMAP accounts login details.

#4. IMAP Account Login Credential

This section shows you the login details of the IMAP mailboxes. If you have added the mailboxes via Import CSV, you will see the login details of all the email accounts in the CSV file. To provide the detail in any of these fields, double-click on that specific field. Also, it is necessary to tick the row you want to migrate.

  • ID - Provide the email address of the IMAP account you want to migrate.
  • Password - Enter the password of the specific email account.
  • Port - Enter the port number of your IMAP account.
  • Host - Provide the IMAP server host of your email provider.

#6. Mailbox Preview

After you provide the login details of all the IMAP accounts, the application displays a preview of all the mailbox folders available in your IMAP account after successfully verifying account details.

#7. Choose Destination for Migration

Here, you define the destination file format/email client for the IMAP mailbox migration. You can also choose the saving location for IMAP backup.

  • Choose File Format/Email Clients for Backup - Click on the field to check the list of backup file formats (PST, MBOX, MSG, CSV, PDF, EML, DOC, and DOCX) and email clients (Office 365, Gmail, IMAP and G-Suite).
  • Dest. Path - It allows you to choose the saving location of the resultant backup file of your IMAP mailbox. This option will not work when you choose an email provider as the destination.
  • Log Path - You can also customize the location for saving log files of the migration.

#8. Define Migration Properties

The last step for the IMAP migration is to define the migration properties as per your requirements. You can choose from different conditions to exclude all the unnecessary items.

  • Remove Duplicate Mail on the basis - This option helps you to exclude all duplicate emails from migration. You can choose the parameters for removing duplicates like Subject, Body, From and To.
  • Free up Server Space - By enabling this option, you can delete your emails from the IMAP mailbox after completing the migration.
  • Migrate Emails without Attachment Files - It enables you to leave all email attachments and migrate only emails of the selected IMAP account.
  • Save Attachments in a Sub Folder - This feature allows you to save your email attachments in a sub folder at the destination.
  • Date Filter - Using the Date Filter feature, you can migrate IMAP emails of a particular date range. To specify the desired date range, enter appropriate dates in the Start Date and End Date.
  • Custom Folder Name - Tick this option for giving a custom name to the backup folder.
  • Split Resultant PST File - If you choose PST file in destination file format, the application provides the Split Resultant PST File option. With this feature, you can break the output PST file into multiple smaller files of any required size.
  • Convert - After choosing all the migration options, click on the Convert button to start the IMAP migration to PST file format.

#9. IMAP Migration Report

After completing the process, you will see the migration report. It is the final screen of migration.

  • Conversion Report - In the conversion report, you will see the details of migration like Source (IMAP mailboxes), Destination (Output file format/email client), Start Time, End Time, Total no. of migrated emails, Skipped Mails, and Status.
  • View - The View button opens the location of the resultant IMAP backup file.
  • Home - By pressing this button, you will be returned back to the Home screen of the tool.
  • Download Report - It will download a CSV file of the migration report.

Working Guide

All the functionalities of the software are easy to use. Anyone can use the software without any previous technical knowledge. However, we will explain how to migrate your IMAP mailbox using the DRS IMAP Backup Tool.

How to Add Rows for Migrating IMAP accounts?

You can add IMAP either via the Import CSV option or through the Add Row button. We will explain both the options

Add Account via Import CSV

  • Click on the Import CSV button.

  • Choose the CSV file containing the IMAP accounts. Press Open.

  • After that, details of all the IMAP accounts will appear in the table.

  • For excluding any mailbox account, uncheck the row.

Note: You can also add an additional row by pressing the Add Row button.

Add Account via Add Row button

  • Click on the Add Row button. It will create an empty row in the mailbox details section.

  • Now, provide the required login details in every field: ID, Password, Port, IMAP Host.

  • Tick the row to migrate that IMAP account.

  • You can add any number of IMAP accounts through this technique.

Note: Click on the Clear Table for removing all the IMAP account entries from the tool.

How to Migrate IMAP Account to PST File Format?

Step 1: Launch the DRS IMAP Backup Tool. Click on the Add Row button to add an empty row.

Step 2: Tick the row and provide the required login details of the IMAP account.

Step 3: Repeat this procedure for adding multiple IMAP accounts. Hit Next.

Step 4: After successfully verifying the IMAP account, you will see the mailbox preview. Tick the desired mailbox folder and click Next.

Step 5: Expand the list of destination file formats/email clients and choose PST.

Step 6: Click on the Dest. Path button to define the saving location of the resultant PST file. Click Next to proceed further.

Step 7: Now, choose the migration options as per your need.

  • Remove duplicate mail on the basis Subject, Body, From, To - to exclude duplicate email items from migration.
  • Free up Server Space - Delete emails from mailbox after migration.
  • Migrate Emails without Attachment Files - Export IMAP mailbox without email attachments.
  • Save Attachment in Folder - Save email attachments in a separate folder.
  • Date Filter - Migrate emails of a particular date range.
  • Custom Folder Name - Give a customized name to the folder saving the migrated data.
  • Split Resultant PST File - Break the output PST file into multiple smaller files of the same size.

Step 8: At last, click on the Convert button to initiate the migration.

Step 9: The application is exporting your IMAP mailbox emails. It will take some time depending upon the size of the mailboxes.

Step 10: After completing the process. you will see the conversion report of the backup process. Click on the Download Report button to download the CSV file of the conversion report.

Step 11: Click on the View button to check the location of the resultant backup file. To return to the homescreen, press the Home button.

How to Migrate IMAP Account to Office 365?

First follow the steps 1 to 4 as mentioned above. After that, follow the below procedure.

Step 5: Choose Office 365 in the destination field and click on the Next button.

Step 6: Now, tick the Assign Impersonation Right option and click on the Login button. It will redirect you to the Microsoft 365 Login page.

Step 7: Sign in using the required Office 365 login credentials. After successful verification, you will see an authentication completion message.

Step 8: In the IMAP Backup Tool, all the user mailboxes will appear. Tick the desired user IDs and click on the Next button.

Step 9: Now, choose from Mailbox, Archive Mailbox or Public folder. Map the source IMAP mailboxes and destination Office 365 mailboxes as per your requirement. Hit Next to proceed further.

Step 10: After that, select all the migration properties.

  • Remove duplicate Mail on the basis of Subject, Body, From, and To - Exclude duplicate IMAP emails during the export.
  • Free up Server Space - Delete emails from the IMAP server after completing the migration.
  • Migrate Emails without Attachment Files - Skip email attachments while migrating your mailbox data.
  • Date Filter - Migrate emails of a particular date range.
  • Custom Folder Name - Give a particular name to the folder containing IMAP backup file.

Step 11: At last, click on the Convert button to migrate IMAP mailbox to Office 365 account.

Step 12: The application migrates your IMAP mailbox data to the Office 365 account.

Step 13: After completing the migration, you will see the conversion report. Click on the Download Report button to download the CSV file of this conversion report.

Step 14: Click on the View button to check the resultant mailbox data. Also, click on the Home button to return to the homescreen of the tool

How to Migrate an IMAP Account to Gmail?

First, follow the steps 1 to 4 as mentioned in the previous steps. After that, follow the below steps to migrate an IMAP account to Gmail.

Note: During IMAP to Gmail migration, the free version of IMAP backup tool only migrates 255 characters per folder.

Step 5: Expand the Choose File Format/Email Client field and select Gmail as destination.

Step 6: Click on the Login button. It will redirect you to the Gmail login page.

Step 7: Sign in via the desired Gmail username and password. After that, select the access permissions.

Step 8: Once authentication is successful, return to the IMAP backup tool.

Step 9: Now, you have to specify the migration conditions.

  • Remove duplicate mail on basis of Subject, Body, From and To - Prevent the migration of duplicate email items.
  • Free Up Server Space - Delete exported emails from the IMAP mailbox.
  • Migrate Emails without Attachment Files - Exclude email attachments while migrating your IMAP emails.
  • Date Filter - Backup emails of a particular date range.
  • Custom Folder Name - Assign a custom name to the mailbox folder saving resultant file.

Step 10: At last, click on the Convert button for migrating IMAP mailbox to Gmail email account.

Step 11: The export process has been initiated. Wait till the process has been completed.

Step 12: After completing the process, you will see the migration report. You can download this report in CSV file format by pressing the Download Report button.

Step 13: Click on the View button for checking the resultant backup file. Press Home to return to the homescreen.

How to Migrate IMAP Account to Another IMAP Account

Below are the steps to migrate an IMAP mailbox to another IMAP account. Before performing these steps follow steps 1 to 4 mentioned above.

Step 5: Select IMAP in the destination migration field and click on the Next button.

Step 6: Now, provide the User ID, Password, Port and Host of the destination IMAP account. Press Login.

Step 7: After successfully adding the destination IMAP account, choose the migration options.

  • Remove duplicate mail on the basis Subject, Body, From and To - Avoid backing up duplicate emails based on different parameters.
  • Free up Server Space - Free up IMAP mailbox after finishing the file transfer.
  • Migrate Emails without Attachments Files - Export IMAP emails without attachment files.
  • Date Filter - Enables you to migrate email of a particular date range.
  • Custom Folder Name - You can give any custom name to the output mailbox folder.

Step 8: After specifying all the options, click on the Convert button to start IMAP to IMAP migration.

Step 9: The application is exporting your mailbox data. It will take some time depending upon the size of the IMAP mailbox.

Step 10: After completing the IMAP migration, check the conversion report. Click on the Download Report button to download the conversion report.

Step 11: If you want to check the migrated mailbox, click on the View button. Also, press Home to return to the homescreen.

How to Migrate IMAP Account to G Suite

You can also export your IMAP mailbox to G Suite. Below are the steps to transfer your IMAP mailbox data to G Suite email account. But first, follow steps1 to 4 as mentioned above.

Step 5: Select G Suite in the Choose File Format/Email Clients field. Click on the Next button.

Step 6: Click on the Login button. It will redirect you to the login page of G Suite.

Step 7: Now, sign to the destination G Suite account and give the access permissions.

Step 8: The tool verifies the G suite account credentials. After successful G Suite account authentication, return to the IMAP Backup Tool.

Step 9: Select the migration properties as per your requirement.

  • Free up server space - Delete emails after finishing the iMAP migration.

Step 10: Click on the Convert button to start the IMAP to G Suite migration.

Step 11: The application is transferring your IMAP emails to G Suite account. Wait till the process finishes.

Installation and Uninstallation Guide

Installation Procedural guide for DRS Solution

  • Download the DRS IMAP Backup Tool for Windows from DRS Solution official website.
  • Now, Install the software on your computer by double-clicking on the .exe file.
  • After that, follow the steps on the setup wizard to install the application on your computer.
  • After the finish of the setup wizard, a dialog box will arrive with a message of completion of the setup.
  • Here click Finish to launch the software on your Windows machine or Computer/Laptop.

Uninstallation Procedural Guide for DRS Solution

Two methods are explained below to uninstall DRS IMAP Backup Tool from your System.

1. Uninstall from Control Panel.

Easily uninstall DRS IMAP Backup Tool from Control Panel, follow the below-curated steps:

  • Click on the Start menu and go to the Control Panel.
  • Choose Add/Remove Programs icon (double click to select).
  • Now, pick the DRS IMAP Backup Tool and click on the Remove option.

2. Uninstall from the Windows Start menu

How To Enable IMAP in Different Email Clients


For Gmail:

Step 1: First, sign in to your Gmail account.

Step 2: Now, click on the Gear icon (Settings) at the top right corner and then the See all settings option to open all settings.

Step 3: After that, choose the Forwarding and POP/IMAP tab.

Step 4: Next, choose the Enable IMAP option in the IMAP Access section.

For Zoho Mail:

Step 1: Visit Zoho mail and log in to your Zoho mailbox account.

Step 2: Now, click on the Gear icon at the top right corner.
